  • Overview


    The YMCA of Greater Kansas City is accepting applications for the position of Welcome Center Associate.  The Welcome Center Associate is a highly visible position, responsible for the first impression upon visitors and callers to the Association Resource Center. This position handles database work, routes and distributes mail, exercises professional judgment when dealing with various situations and assists with administrative duties as assigned.


    Monday-Friday 12:00 to 5:00 p.m. 25 hours per week



    • Must answer phone lines according to YMCA phone procedures and direct calls and people on site to appropriate associates in a friendly and courteous manner.
    • Welcome onsite visitors, determine nature of business and announce visitors to appropriate personnel.
    • Serve as point of contact for Association Resource Center, to include building maintenance needs, conference rooms, conference lines, etc.
    • Receive, sort, and route courier and postal mail.
    • Order, receive and maintain office and coffee supply inventory.
    • Ensure office space is professional, attractive and safe; liaison contact with building maintenance.
    • Point of contact for Penn Tower parking, and maintenance.
    • Maintain cleanliness and orderliness of conference rooms, kitchen and reception area including watering of plants.
    • Orient new associates of general office procedures, ensuring a smooth, welcoming integration – to include office keys, parking badges, etc.
    • Creates Name tags and plates, Prep space for new associates at the Associate Resource Center.
    • Coordinates ordering of flowers, fruit, food, etc. and lunches for associate meetings.
    • Maintains and updates Association Resource Center associate rosters.
    • File both electronic and paper materials according to classification and identification information.
    • Handles special administrative projects as assigned; includes producing and composing spreadsheets, e-mails, etc.
    • Point of contact for office equipment repair.
    • Organizes Monthly Celebration and Potlucks.
    • Provides support to leadership in scheduling of meetings and meeting preparation.
    • Back up travel coordinator for Administrative Assistant. Provide administrative support to capital campaign by preparing agendas and packets.
    • Assist with data entry in our donor database.




    • High school degree or equivalent.
    • One year experience in this or a related field.
    • Three years administrative experience strongly preferred.
    • Must have good communication skills including phone skills.
    • Ability to make independent and sound decisions in a fast paced environment.
    • Highly organized, detail, and goal oriented. Able to prioritize and multi-task.
    • Must be able to deal with a diverse group of people in a friendly and consistent manner.
    • Able to exercise high levels of discretion and confidentiality.
    • Proficient with all Microsoft Office Products.
    • Ability to provide outstanding customer service.
    • Professional in dress and conduct.
    • Experience and ability to work productively with minimal supervision.
    • Ability to speak Spanish is a plus.
