Overview

Under the supervision of the Early Learning Program Director, the Business Coordinator is responsible and accountable for supporting the daily business activities for the Early Learning program. 

Responsibilities

  • Provide administrative support for the center.
  • Responsible for keeping associates and children’s files up to date and accurate for licensing requirements.
  • Maintain records in point of sale system and ensure all cash receipting is processed both timely and efficiently, including entering children information, payments, field trips, etc.
  • Process parent payments, provide parents with receipts and adjust co-payments as needed.
  • Responsible for running and distribution of accounts receivables reports.
  • Responsible for all electronic funds transfers (EFTs): account set-up, account changes, and monitoring and contacting families about returns.  Would also include checks returned for non-sufficient funds.
  • Prepare and complete monthly processes as required to receive funding from state agencies (such as SRS, DFS and CACFP).  May include input onto month-end accrual spreadsheet by noon on the first business day of each month.
  • Ensure compliance with CACFP requirements, including attendance records, meal counts, etc.
  • Assists in monitoring monthly financials to ensure that revenues and expenses are on track in relation to the budget.
  • Assist with associate scheduling, monitoring children to staff ratio.
  • Assist with day to day activities of the center, i.e. setting up for lunch, covering breaks.
  • Act as one of the designated person’s in charge for the center when the Director and Senior Lead Teacher are not available and supervise staff as needed when situations arise.
  • Provide limited assistance in classrooms as needed.

Qualifications

  • 18 years or older.
  • High School Diploma or equivalent.
  • Two years office, business or other related experience.
  • Able to work with diverse groups of people in a friendly and consistent manner.
  • Sensitivity to individuals representing a variety of family, cultural, and socio-economic backgrounds.
  • Able to make independent and sound decisions in a fast paced environment.
  • Able to exercise high levels of discretion and confidentiality.
  • Detail oriented with good organizational skills, and be multi-task proficient.
  • Strong computer skills with the ability to adapt to new software.
